The Data Concierge is a simple, guided setup process for new users to onboard their data into Workia quickly. 🪄

This three-part setup walks users through the key tasks necessary to get started. With Data Concierge, users can:

  • Import Team Members: Upload from a spreadsheet or directly paste the list of team members to import directly into Workia.

  • Import Case Types: Define and create the different case types your organization will manage within Workia.

  • Import Employees and Cases: Import your existing employee data and case information from a spreadsheet.

💡This guide is available for newer clients who need to set up their team members, case types, and case data easily.

Where can I find my Data Concierge?

You can access this feature by clicking the Data Concierge quick action button on the landing page.

Alternatively, you can navigate to Settings by clicking the profile icon in the upper right corner. Hover over Settings and select Data Concierge to open the window.

Setting up your data

Inviting your team members

Start by clicking on Team to import or add colleagues. You can upload a spreadsheet by clicking the "Upload File" button and selecting your spreadsheet. This allows for a bulk import to easily add multiple users in one go.

📘 When importing team data via a spreadsheet, ensure proper headings for First Name, Last Name, and Email to allow the system to identify them correctly.

Alternatively, copy your team data's first name, last name, and email and paste it directly by clicking the "Paste Data" button.

Once the team data is added, select the checkbox to assign Admin roles.

📘Users added through this feature are assigned a Mobility role by default. To grant Admin access, simply check the Admin check box to give them Administrator rights.

Managing your case types

After adding colleagues, click "Next" to manage and configure your case types. This step mirrors the process on the Case Types screen. Add a new case type or toggle off those you wish to exclude.

Importing employees and cases

The final step is importing your employees and cases. You can frag the spreadsheet file or click the file drop section to browse and choose a file.
