Manage and create a fit for every mobility scenario with the Cost Estimate Templates eliminating the hassle of individually reviewing each cost estimate, while also being able to add or modify estimates on the go.
Accessing Cost Estimate Templates
To begin creating cost estimate templates, navigate to Cost Estimate Templates, click on your Profile icon on the top right corner to open the drop-down menu, hover over "Settings" and click on the Cost Estimate Templates setting to open the Company Documents screen.
How do I create Cost Estimate templates?
Select the "Plus" button or "Add Template" on the Cost Estimate Templates screen to add a new template.
Once created, you will be greeted with two sections:
Cost Estimate Line Item Configuration
The section on the left shows all line items related to the move type selected:
Renaming line items
You can customize cost estimate line items to fit your specific business needs. Click on the line item name to edit it directly; changes are saved automatically when you click outside the field.
Toggling line items
You can click on the Include toggle button to include certain line items on the cost estimate, by toggling it off, the line item will not appear on the Cost Estimate if the template is used on a case.
Overriding line items
You can override line items with support for annualized or prorated amounts. Just click on the Custom Calculation toggle button and a Custom Value label will appear on the line item indicating that it is overridden. The following fields will appear on the line item:
Comment field for adding notes or descriptions to your line item; this will appear on the Cost Estimate report.
Annual Amount field is where you can enter the desired value.
Search for a Currency to select the appropriate currency for the amount.
Prorated checkbox if the amount needs to be prorated based on specific criteria.
Configuring line item assumptions
On some line items, Assumptions are configurable, these are options that can be configured to change the output of the calculation depending on the option selected.
For example, we can select the type of Airfare Class for our airfare line item, and this will change the overall computation for the Allowances on this cost estimate template.
Cost Estimate Template Details
You can rename your template in this section by clicking on the name. Type ahead and it will automatically save the name.
You can also select the move type for the Cost Estimate template, changing the move type will affect the line items depending on the context of the move. In some move types, there are further options that we can select depending on the calculation (e.g for Long Term Assignment, you can choose if the cost estimate is using Equalization or Grossup Only calculations)
By ticking the "Set as Primary" checkbox, primary templates will be used whenever a new cost estimate is created on a case.
Click on the "Save" button to apply the changes to the Cost Estimate template.
How do I use Cost Estimate templates?
When setting a Primary cost estimate template, every cost estimate created for a case will use the primary template by default.
If we plan to change the template, open the cost estimate on a case and select the three-dotted icon on the cost estimate details. Then select "Change Template".
A modal will appear with the list of templates available for the move type. Click on a template to change the cost estimate. Selecting a different template will instantly change the estimate based on the configuration of the template.
How do I delete Cost Estimate templates?
On the Cost Estimate Templates screen, click on the three-dotted icon beside the Cost Estimate Template item. Then select "Delete" to clear the template from the list.
