Creating an approval request

To create an approval, head over to a case that you will be creating an approval for and locate the Approvals section on the case details screen. Then click on the "Add Approval" button or the Plus button located on the section.

πŸ’‘ Whenever you create a new approval, it automatically creates a draft of the approval.

Once you have added a new approval, you will be redirected to the Approval screen to fill in the approval details.

On the Summary section, you can fill out the Approval title, the Request Type, the Cost (if any), the Currency of the cost, and the description.

You can select a pre-defined Approval Request type from the drop down list and modify the name if needed by clicking on the three dotted icon.

You can also create a new request type by scrolling down on the drop down list and selecting the "+ Add Request Type" option.

Below the Summary section, you can add documents related to the approval request by clicking on the file uploader or by dragging the file to the section.

Adding approvers to an approval

To add an approver, head over to the Approver section, and click on the "Add approver" button.

You can then select an Approver from your team, or add a new approver if the user is not yet existing in the app.

In the event that you add a new approver, you will be asked for their email and their first and last name.

Once you have added all the approvers, they will all be listed on the Approvers section.

Sending the approval request

The first Approver on the list will be the first to Approve or Deny the request, and when approved, it will be passed to the next approver. If anyone hits deny, it will stop the approval process.

You can change the order of the approvers on the list by dragging the approver to change the sequence.

You can also delete an approver by clicking on the three dotted icon on the far right side of the approver.

Once you have finalized the approval request, click on the "Send for Approval" button - This will initiate the approval request and an email will be sent to the first approver and the following approvers depending, assuming no one clicks deny.

When an approver opens the approval link from the email, it will ask for a security code. An email with the code will be sent after and that will be used to verify when you see this verification screen.

After verification, the approver will see the approval screen, and then the approver can review the approval details, upload documents, leave comments, and select an approval action to approve or deny the request.

Canceling an approval request

If for some reason you want to cancel the approval request, open the approval and click on the "Cancel" button just below the Approval request screen.

Managing approvals on a case

On the Approvals section on a case details screen. You can manage your approvals by Copying or Deleting them.

When copying an approval, it will copy Approval summary information of the approval copied, making it quick and easy to create multiple approvals with the same details.

You can also use Delete to remove approvals from the list.

β›” Always be careful when deleting approvals, as this is irreversible and you will lose the approval request.
