Actuals help you track the actual costs and expenses incurred during a move. This helps manage and monitor all your move costs in one place! ๐ต
Accessing Actuals
On a case record. Select Actuals on the navigation menu or by scrolling down until you find the Actuals section.
Adding an Actual
To add a new expense, click on the "+" button to add new information.
Once you have filled in the required fields, click on "Save" to save the expense record.
Managing Names
You can create a new Actuals name/type by entering text and pressing enter. If you want to manage existing entries (rename them, inactivate them), then click "Manage Actual Names". Actuals names/types will be available and reusable throughout all case records.
Managing Sources
Similar to saving Actuals, you can do the same with your Sources and reuse them later and on different case records when needed. Select "Manage Source" on the drop-down field under the Source field, a window will appear asking to provide the name of the Source to be added. This will be available and reusable throughout all case records.
Editing Actual Records
On the Actuals section, select an actual record to edit by selecting the record or by clicking on the three-dot icon.
Once you make the changes, click on the "Save" button to apply the changes made.
Adding Attachments or Receipts to Actuals
To add a document or receipt to an Actual record, click on the Document icon, and a sidebar with a file attachment will appear. You can click on the file uploaded to navigate through the files on your computer, or you can drag and drop the relevant documents associated with the record.
Commenting and Mentions in Actuals
You can utilize the messaging feature on each Actual record by clicking on the Comment icon. To keep track of the discussions relating to a specific case record.
You can mention a team member on the messaging to notify that member when they are tagged in a message. This will send a notification through the in-app notification and also through email.
You can also set the permissions on the comments posted by selecting if anyone can see the comment or only Mobility and Admin roles can view the comment.
